This Tender is invited by the Issuer.
ONI is seeking a high-performing candidate for the provision of marketing, communications and engagement specialist services. The successful candidate will be required to perform tasks including, but not limited to the following:
- Overseeing the Summit management and planning from concept to execution, including facilitating the creation of event concept to developing a project/event plan, communicating with key Commonwealth stakeholders, the event committee and relevant staff ensuring the plan is implemented on time and within budget;
- Identifying and implementing lessons learned from the (first) 2024 Summit;
- Drafting key Summit artefacts, ensuring event concept and print materials are aligned with the intent of the Summit;
- Coordinating the creation of all relevant visual elements and printed materials for the Summit;
- Liaison with relevant Five Eyes attendees, technical experts and VIPs;
- Liaison management of suppliers and attendees;
- Coordinating of the Summit NIC public relations;
- Coordinating, supervising and training (where relevant) related internal and supplier staff.
Daily tasks to be performed include the following:
- Organising and preparing the relevant Summit venues and associated infrastructure;
- Organising and finalising a definitive guest list;
- Organising and finalising a definitive industry presenter list;
- Preparing and distributing relevant marketing information as required;
- Finalisation of an event schedule (including timing, content etc.);
- Organising the event speakers;
- Organising relevant food and drink arrangements for guests and attendees
- Providing relevant time/location information to guests and attendees
- Guiding and supervising (hosting services) at the Summit
- Closing the event; overseeing relevant Summit closure, clean-up activities and venue hand-over as required.
The successful candidate will have:
- Proven experience in event management, either in the design and delivery of National Intelligence Community (NIC) innovation summits.
- Proven experience in project management and coordination of industry, academia and government stakeholders to prepare and host social events.
- Proven representational and communication skills, and the ability to foster and maintain collaborative connections.
- An ability to work constructively within a small team, exemplify resilience, use sound judgement and adapt in a shifting and ambiguous environment.
- An ability to plan and execute a non-public event involving up to 1000 people.
- Maintain a security clearance (baseline minimum).
